This Privacy Policy explains how Gyanis collects, uses, shares, and protects personal information when you:

  • Visit our websites,
  • Use our applications or services, or
  • Participate in workshops and events.

This policy applies to all users, including students, parents, teachers, and school partners.

2. Definitions

For clarity and compliance across jurisdictions:

  • “Personal Data” means any information that can identify a person directly or indirectly.
  • “Processing” means any operation performed on personal data, such as collection, storage, use, or deletion.
  • “Controller” means the entity that determines the purposes and means of processing personal data.
  • “Processor” means the entity that processes data on behalf of a controller.
  • “Minor” means an individual under the age of 18 or as defined by local law.
  • “School Account” means a user account created or managed under a school’s license or agreement.
  • “Services” refers to Gyanis’s websites, applications, platforms, and educational products including Flow, Vibe, Aura, Gameplan, and Pulse.

3. Data Controller and Contact

Gyanis acts as the Data Controller for information collected directly. For school-managed accounts, Gyanis may act as a Data Processor under the school’s written instructions.

4. Information We Collect

We collect information to provide and enhance your learning experience. The data we collect includes:

  • Account Data: Name, email, phone number, password or sign-in token, class or role, school name, and city.
  • Profile Data: Preferences, language, avatar, time zone, and parent or guardian contact for minors.
  • Usage Data: Pages viewed, features used, session duration, device type, operating system, browser, IP address, cookies, and similar identifiers.
  • Content Data: Messages, prompts, uploads, notes, mind maps, and study plans created within Gyanis.
  • Learning Data: Practice attempts, scores, streaks, and analytics.
  • Audio and Voice (Vibe): Audio streams, transcripts, and derived signals when voice features are used.
  • Booking Data (Aura): Session requests, schedules, durations, prices, and notes with professionals.
  • Payment Data: Payment status, transaction identifiers, and amounts. Card details are processed by payment gateways and are not stored by Gyanis.
  • Workshop Data: School name, class size, teacher or coordinator contact, and feedback for workshops.

5. Children and Student Data

Gyanis serves students, including minors.

  • If you are under 18, parental or school consent is required as per local law.
  • Some features may be limited for minors.
  • Purchases cannot be made without parental involvement.

6. How We Collect Information

We collect information in several ways:

  • Directly: When you create an account, contact support, or participate in events.
  • Automatically: Through cookies, SDKs, and usage logs.
  • From Third Parties: When you use Google sign-in or when schools or parents provide your details for setup.

7. How We Use Information

We use data to:

  • Provide and improve our services.
  • Personalise learning experiences.
  • Generate responses, mind maps, and practice sets through responsible AI processing.
  • Communicate service messages, updates, and alerts.
  • Send optional marketing updates (with consent).
  • Process payments and rewards, prevent fraud.
  • Manage workshops and provide learning materials.
  • Detect misuse, ensure safety, and enforce policies.
  • Comply with legal and regulatory obligations.

Legal Basis: Consent, contract performance, legal compliance, and legitimate interest.

8. Cookies and Similar Technologies

We use cookies to:

  • Enable site functionality,
  • Remember preferences,
  • Measure performance, and
  • Improve features.

You can adjust cookie settings through your browser. Essential cookies are necessary for the service to operate. Non-essential cookies are used only with consent.

  • Schools or Parents for progress reports in managed accounts.
  • Legal Authorities when required by law or to protect users and the public.
  • Business Successors if Gyanis merges, acquires, or transfers operations.

We do not sell or rent personal information and do not permit third-party advertising based on student data.

10. International Data Transfers

Data may be stored in India, the UAE, or other countries where our providers operate. Where required, we use legal safeguards such as contractual clauses or approved frameworks for cross-border transfers.

11. Data Retention

We retain personal data only as long as needed to:

  • Provide services,
  • Fulfil legal obligations, and
  • Resolve disputes or enforce agreements.

Data is securely deleted or anonymised once no longer required.

12. Security

We employ organisational and technical safeguards including:

  • Encryption in transit,
  • Role-based access controls,
  • Security audits, and
  • Continuous monitoring.

No system is completely secure; users are advised to maintain strong passwords and use trusted devices.

13. Your Rights and Choices

Subject to local law, you may:

  • Access and receive a copy of your data,
  • Correct inaccurate information,
  • Request deletion or restriction of processing,
  • Withdraw consent at any time, and
  • Request data portability where feasible.

14. Regional Privacy Notes

India

We comply with the Digital Personal Data Protection Act, 2023. Complaints may be sent to support@gyanis.in and will be acknowledged and resolved as per law. If unresolved, you may appeal to the Data Protection Board of India.

United Arab Emirates

We comply with applicable UAE data protection laws. UAE residents may exercise rights to access, correct, or delete data, and object to certain processing.

15. Marketing Preferences

You can opt out of marketing communications using the unsubscribe link or within your account settings. Essential service communications will continue.

16. Schools and Student Data Processing

When schools act as controllers, we process student data under their instructions. We provide tools for schools to manage user access, retention, and deletion. Student data from school accounts is not used for advertising or profiling.

17. Children’s Privacy

If a child creates an account without necessary consent, we will take corrective action to secure or remove the account. Parents or schools can contact support@gyanis.in to access, review, or delete a child’s data, in line with applicable law.

18. Workshops and Events

For in-person school workshops, we collect only scheduling information (school name, contact details, and feedback). No student personal data is collected, and no photos or recordings are taken without prior written permission.

19. Payments

Payments are processed through verified third-party gateways. We receive transaction references but never store full card numbers. Payment partners’ privacy policies apply to those transactions.

20. Data Protection Impact Assessments

Gyanis conducts Data Protection Impact Assessments (DPIAs) for new products, integrations, or features that involve student data or sensitive personal information, in line with global data protection best practices.

21. Changes to This Policy

We may update this policy to reflect new laws, technologies, or operational changes. The latest version will always appear on this page with the revised effective date. For significant changes, we will notify users via email or in-app notice.
